Listenr vs Notion AI meeting notes
If your work already lives in Notion, use Notion’s own meeting notes: they are Notion pages from the start and included on Business and Enterprise. Use Listenr when the audio and the transcript have to stay on your machine, because Notion sends recordings to six named subprocessors for transcription while Listenr transcribes on the Mac. Listenr Pro can deliver the finished notes into Notion, so running both is normal.
| Feature | Listenr | Notion AI |
|---|---|---|
| Does a bot join the call | No, capture is from the Mac | No, the desktop app captures on the device |
| Where your audio is transcribed | On the Mac by default; four of five backends are offline | In Notion’s cloud |
| Who else handles the audio | Nobody, unless you pick OpenAI cloud transcription | Six named subprocessors, including OpenAI, Anthropic and xAI |
| What it can hear | System audio plus the microphone | Desktop captures both; browser and mobile are microphone only |
| Who writes the notes | A local model, Apple Intelligence, your own Anthropic or OpenAI key, or Listenr Cloud | Notion picks; no model choice, no API key |
| Devices you can use it on | macOS 15 or later, Apple Silicon | macOS 13+, Windows, web, mobile |
| What the free plan gives you | Recording, transcription and notes from a local model or your own key; personal use only | A Limited Trial on Free and Plus, limits not published |
| Price | Pro $19/month, or $15/month billed yearly | Included on Business, $20/member/month or $16 annual |
| Where the notes land | Your local library, or delivered to Notion on Pro | Already a page in your workspace |
| Getting at meetings from a terminal or an assistant | Local CLI and MCP server on every plan, read-only by default | A public API and an MCP server, hosted |
Most people reading this should keep using Notion’s own meeting notes. If your projects and wiki are already in Notion, a note that arrives as a Notion page beats a better note that arrives somewhere else. Neither tool sends a bot into the call. The reason to add Listenr is narrower: the audio and the transcript have to stay on your machine. Listenr can still deliver the notes into Notion.
Who handles the audio
Notion transcribes in its cloud and says so plainly. Its help page lists the sub-processors AI Meeting Notes engages: OpenAI, Anthropic, Fireworks, Baseten Labs, X.AI and AssemblyAI. For a vendor review, that page does much of the work.
Listenr’s default is that nobody else handles the audio. It transcribes on the Mac with Apple’s on-device engine, in one language you set; Parakeet, a download, adds 25 European languages with detection. The one cloud backend, OpenAI, receives audio only if you select it.
Will it hear the other people on the call?
That depends on where you run Notion. The desktop app, on macOS 13 or later or Windows, records system audio and the microphone. The browser records the microphone only, so a browser recording of a video call has only your half of the conversation, and Notion prompts you to open the desktop app instead. Mobile records through the phone’s microphone.
Listenr is a Mac app and always captures both the call audio and your microphone, on macOS 15 or later on Apple Silicon.
Limits worth knowing
Notion documents a cap of 10 hours per user per day, and a summary needs at least 300 transcribed characters, roughly a minute of speech.
AI Meeting Notes is included on Business and Enterprise and is a Limited Trial on Free and Plus. Notion does not publish what the trial allows, so the tier is the only reliable answer.
Listenr’s free plan is licensed for personal use and covers recording, transcription, speaker separation, notes from a local model or your own API key, and the local command line tool. Notion delivery is part of Pro; the pricing page has the rest.
Running both
Listenr’s Notion connector posts finished meetings to Notion from your Mac. Connecting goes through Listenr’s server once to exchange the sign-in code, and the token is kept in your Keychain, not on the server. Once you enable the connector, every finished meeting is delivered automatically. Including the full transcript is off by default, so what lands in Notion is the notes.
The result: audio and transcript on your Mac, the write-up in Notion where your team reads things.
What Notion is better at
Placement. Notion’s notes are Notion pages the moment they exist: linked from a project, filed in a database, searched with everything else, with no delivery step. Notion also transcribes recordings you upload, which Listenr does not.
Reach: Windows, the web and phones.
Cost, for a team already on Business, where the meeting notes come with a subscription you hold anyway.
If you use Listenr Cloud for the notes, the transcript, your own notes, the participants’ display names (no email addresses) and any meeting chat Listenr collected go to Listenr’s server, which passes them to the model Listenr runs on Hetzner’s inference service and stores neither the transcript nor the notes. A local model, Apple Intelligence or your own API key avoids that path. The FAQ covers the rest.
Pick Listenr when
The audio and the transcript have to stay on your machine, you want to choose the model that writes the notes, or you want the notes in Notion without the recording going through it. Listenr Pro delivers into Notion, so this is not either-or.
Pick Notion AI when
Stay with Notion if you are on Business or Enterprise, where AI Meeting Notes is included, or if you want notes that are Notion pages from the start, linked into the databases and wikis you already keep. For most Notion teams that is the right answer.
Common questions
What is an alternative to Notion AI meeting notes that keeps audio on my Mac?
Listenr. It records from the Mac with no bot and transcribes on the device by default, using Apple’s on-device engine, and on the Pro plan it can deliver the finished notes into Notion. You keep Notion as the place your team reads notes, without the recording passing through Notion’s transcription subprocessors.
Does Notion send my meeting audio to other companies?
Yes, and it names them. Notion’s help page says AI Meeting Notes engages the sub-processors OpenAI, Anthropic, Fireworks, Baseten Labs, X.AI and AssemblyAI. Listenr transcribes on the Mac by default, and audio leaves the machine only if you choose OpenAI cloud transcription.
Can Notion record system audio in a browser?
No. Notion’s help page says that recording in the browser captures the microphone only and that system audio will not be captured. The desktop app records both system audio and the microphone, and the mobile app records through the phone’s microphone. Listenr always captures system audio plus the microphone.
Can Listenr send its notes into Notion?
Yes, on the Pro plan. Connecting Notion goes through Listenr’s server once, which does not keep the token; delivery then runs from your Mac. Once you enable the connector, every finished meeting is delivered automatically, and including the full transcript is off by default.
How long can a Notion meeting recording be?
Notion documents a limit of 10 hours per user per day, and a summary needs at least 300 transcribed characters, which is roughly one minute of speech.
Is AI Meeting Notes included in my Notion plan?
It is included on Business and Enterprise. On Free and Plus it is a Limited Trial, and Notion does not publish the trial limits, so plan around the tier rather than a number. Notion lists Business at $20 per member per month, or $16 billed annually.
Try it against your own meetings.
The free plan records, transcribes and writes notes with a model on your Mac. No account needed to find out whether the transcript is good enough.
